We appreciate the needs of the association and work tirelessly with each organiser and committee to ensure the smooth running of your event, which will be treated on an entirely bespoke basis. We know your members are at the heart of everything you do and we work extremely hard to ensure the complete satisfaction of every guest.


At SF Events we are mindful that associations need to be very budget conscious. We believe in being totally transparent with costs, so unlike a lot of other reunion organisers, we provide you with a fully itemised budget enabling you to see exactly where every penny will be spent.


In our experience the best events grow from the relationship between SF Events and the association organiser and committee. From the very first point of contact we work closely with you to understand the specific needs of your association, which then forms the basis of all the logistical planning and support we give to you right through until the final debrief. As a valued client you would be allocated an Event Manager to ensure all details for your event are considered. That same Event Manager will be onsite to keep things running smoothly whilst you and the committee maintain complete ownership of your special event.



We offer a complete package of services including the following elements, but we can be involved as much or as little as you need:

  • Initial venue finding and contract negotiation, including exclusive use for larger events.
  • Sourcing suitable accommodation.
  • Guest communication from inception to delivery, including introducing the event with booking forms, chasing for responses and confirming packages booked.
  • Printing and distribution of all materials (such as booking forms, Programme of Events, Church Services), with large print mailing also available.
  • Weekly registration report showing who is attending and who is yet to reply.
  • Process all payments, send members receipts and safeguard their money (all payments are held in a dedicated client account until you return from your event).
  • Negotiate additional nights at preferential rates, to allow your members to extend their stay.
  • Welcome desk to meet & greet guests as they arrive, with badges and welcome packs as required.
  • Arrange Meeting Rooms for AGMs, Committee Meetings or syndicate rooms, including refreshments and audio-visual equipment if required.
  • Organise a Service of Remembrance. As many reunions honour their former members & colleagues, we can arrange a suitable room at your venue or a local alternative and arrange any required permits.
  • Arrange any elements specific to your event such as Tot Time & Up Spirits (naval events), Port (RAF, Army, Marines) and Ladies Gifts.
  • Enhanced programme elements such as local excursions including group transportation, guest speakers or even practical workshops.
  • Arrange displays onsite for your Association, including Slops Tables and Memorabilia Displays.
  • ‘Daily Orders’ updated and displayed as required.


A Gala Dinner is often the highlight of a reunion and we’re here to make the evening extra special. We help with many aspects of clients events, including but not limited to; menu cards, table plans, name place cards, table centres, room decorations, table favours, entertainment, raffle, photographer.

Service Guarantee:

All moneys paid to us by your members is held in a separate account until the completion of your event.

All data is held on a secure server and is used only for the purposes of the association and event needs in the current year. If we assist the association the following year, we ask for a new set of data. This ensures that only up-to-date members receive information and ensures protection of members’ details.
